Shiftelio for gyms and fitness studios
Retire the PT commission Excel sheet.
PT packages, trainer commissions, session tracking and split-shift attendance, built into the same system that runs your payroll. This is the staff side of a gym, not a gym CRM.
Sound familiar?
- PT commissions live in an Excel sheet that only one person understands
- Trainers dispute how many sessions they delivered last month
- Packages expire silently and revenue leaks away unnoticed
- Split shifts, 6 to 10 in the morning and 5 to 9 in the evening, get misread as absences by generic attendance apps
- Commission payouts are recalculated by hand every payroll cycle
- Your gym software runs the front desk beautifully and knows nothing about what you owe your trainers
What the gym toolkit includes
PT package tracking
Each package records the client, price, deposit, sessions sold and sessions delivered. A deposit is clamped to the package price, so it can never exceed it. Owners approve new packages before they count.
Automatic trainer commissions
A commission rate per package becomes a per-session amount: package price divided by sessions, times the rate, to the paisa. No manual math and no month-end spreadsheet.
On hold until the client has paid
A session is funded only if the client has actually paid for that far into the package. Anything beyond goes on Payment Hold, and unlocks by itself the moment the balance is collected.
Backdated session recording
Trainers can log sessions for past dates, so end-of-week catch-up entry does not cost anyone their commission. Each one is stamped as backdated, so the owner can see it happened.
Expiry that corrects itself
Packages past their end date expire on their own, and a package whose end date the owner extends comes back to active on its own. The status follows the dates in both directions.
Payroll-safe editing
Edit a package price or session count and unpaid session commissions recalculate instantly, while sessions already paid through payroll stay locked and untouched. The screen tells you how many of each.
Split-shift scheduling
Morning and evening gym shifts are native. No more marking your best trainer absent at 2 in the afternoon.
Selfie attendance, no hardware
GPS plus selfie check-in from the trainer's own phone, geofenced to your gym. No biometric device to buy, clean or repair.
Goals and Rewards
Set monthly targets, sessions delivered or memberships sold, and attach rewards that flow into payroll automatically.
Editing a package after payroll has already run
This is the case that breaks a spreadsheet, and it happens in every gym. A package was entered at 12 sessions for Rs 24,000, four sessions have been delivered, two of those were already paid to the trainer in last month's payroll, and now the client renegotiates to 16 sessions for the same money.
Change the package and two different things must happen to two sets of sessions. The commission per session drops, so every session not yet paid out is recalculated at the new rate. The two sessions that already went through payroll are locked and are not touched at all: they were paid at the old rate, that payslip exists, and rewriting history to make a report tidy would leave the trainer short with no record of why. The screen tells you how many were recalculated and how many were locked, so you know before you save.
The same principle runs through expiry. A package past its end date is expired automatically, and if you extend the end date while sessions remain, it comes back to active automatically. You are never left telling a client their package is dead because a status went stale.
What Shiftelio is not: read this before anything else on the page
Shiftelio is not gym management software in the sense most gym owners mean it. There is no member database, no membership sale or renewal, no class or slot booking, no turnstile or access control, no member billing and no member-facing app. Nothing on this page is going to run your front desk.
The shelf you are standing in front of is a real one: Gymgle, FitnessForce, Gymtrack, Zenoti and Exercise.com all sell that, PT Distinction sells online coaching delivery, and a general HR app sells attendance without ever hearing the words personal training. If members are the problem you are solving today, buy from that shelf and stop reading here.
Shiftelio solves the other half: what you owe your trainers, whether they turned up, and how that becomes a salary. Most gyms that use us run a member system alongside, and that is the intended arrangement rather than a compromise.

Why the commission number is the whole point
A gym CRM can usually tell you a package has 12 sessions and 7 are used. Almost none of them can tell you what that means for the trainer's salary on the 30th, because the trainer's salary is not in the CRM. So the number gets carried across by hand, into a spreadsheet, once a month, by one person.
Here the commission is computed at the moment the session is recorded: package price divided by sessions sold, times that package's commission rate, rounded to the paisa. It is attached to the session, not recalculated from a total at month end, which is why editing a package later cannot silently change what was already paid out.
Money the client has not paid yet does not become a trainer's wage
Gym owners ask us
Is Shiftelio a replacement for my gym software?
No, and you should not buy it as one. Shiftelio has no member records, no membership sales or renewals, no class booking, no access control and no member-facing app. If those are what you need, buy a gym CRM such as Gymgle, FitnessForce, Gymtrack, Zenoti or Exercise.com. Shiftelio is the staff side: trainer attendance, PT package and session tracking, commissions that reach payroll, and Indian payroll itself. Plenty of gyms run both, one facing members and one facing the team.
Can Shiftelio track personal training (PT) packages?
Yes. Each PT package records the client, total price, deposit paid, number of sessions sold, sessions delivered and expiry. Trainers log sessions from their own app, and owners approve new packages before they go live.
How does trainer commission tracking work?
Every package has a commission rate that converts into a per-session commission amount: the package price divided by the number of sessions, times the rate. A session counts as funded only if the client has paid that far into the package, so anything beyond stays on Payment Hold until the balance is collected, and then unlocks by itself. Funded commission flows into the trainer's payroll. If a package price or session count is edited, unpaid commissions recalculate automatically while payroll-locked sessions stay untouched.
Can trainers record sessions that happened earlier (backdated sessions)?
Yes. Sessions can be recorded for past dates, so a busy trainer can log the week's sessions later without losing commission credit. Each backdated entry is flagged as backdated and the exact time it was recorded is kept, so the owner can see what was entered late.
What happens when a package expires?
A package whose end date has passed is moved to expired on its own. If the owner then extends the end date and sessions are still left, it returns to active on its own too. The status follows the dates in both directions, so a package does not sit wrongly expired after you give a client more time.
Does Shiftelio handle gym staff shifts, including split shifts?
Yes. Morning and evening gym shifts are handled natively, so a trainer working 6 to 10 in the morning and 5 to 9 in the evening is not misread as absent in between, which is a common problem with generic attendance apps.
Do trainers need their own smartphones?
For check-in and for logging their own sessions, yes. Each trainer signs in on their own phone, Android 6.0 or newer or any iPhone on iOS 15 or newer, and it works on entry-level handsets. Where a trainer has no usable phone, an owner or manager can record their sessions and mark their attendance for them from the business side, so nobody is locked out. There is no biometric device or turnstile to buy either way.
Do gym owners need biometric hardware?
No. Staff clock in with GPS plus a selfie from their own phone, verified against a geofence around the gym. There is no fingerprint device to buy or maintain.
What does this cost for a gym with 10 or 20 trainers?
The Growth plan is Rs 5,999 a year and covers up to 25 employees across 3 locations, so a gym with 10 trainers and a gym with 20 pay the same figure. That is a flat annual price, not per trainer per month, and it does not change when you hire. A single studio with one or two staff starts at Rs 999 a year. Prices exclude GST.
Is the PT toolkit a paid add-on?
No, there is no separate charge and no higher tier for it. PT packages and trainer commissions are switched on for your business rather than being on by default, so if the PT screens are not showing in your account, ask us and we will enable them. Attendance, shifts, payroll, leave, letters and onboarding are there from the first day on any plan.
