Pausing a PT Package When a Gym Client Travels or Falls Ill
In short
A PT client goes home for Diwali with nine sessions left. How to pause the package so the end date moves, the payment date does not, and nobody argues.
- A pause changes three things: the end date moves, the payment due date stays, and no session may be recorded on a paused day.
- Write the rule on the receipt before November, not at the rack after the client leaves.
- Give unused days back when a client returns early, and move the end date again when they return late.
Riya bought a 24 session personal training package on 1 October. It runs to 30 November and the second half of the fee is due on 15 November. On 1 November she tells her trainer she is going home to Lucknow for Diwali and a family wedding, three weeks, and she has nine sessions left. She wants those nine sessions when she is back. The trainer says yes at the rack. Nobody writes it down.
On 1 December the package shows as expired. Riya comes in, the front desk turns her away, the trainer does not remember saying three weeks, and the owner has to decide in front of a queue whether to give away nine sessions or lose a client who was about to renew. Every gym in India has this conversation in November, and again in May when exams and summer travel start.
This article is about doing the pause properly: what it has to change, what it must never change, the rule to write down before the client asks, and how the pause works inside Shiftelio's PT packages, with the dates worked through.
What a pause has to change, and what it must not
People say "freeze", "hold" and "pause" for the same thing. Whatever the word, a pause on a PT package touches three dates, and the arguments come from treating them as one.
- The end date moves. If the client is away for 21 days, the package ends 21 days later. That is the whole point of the pause.
- The payment due date does not move. A pause is about days, not money. If the balance was due on 15 November, it is still due on 15 November. A client who is travelling can pay by UPI. A gym that lets the pause also push the payment has quietly given a three week loan.
- No session can be recorded on a paused day. This is the one gyms forget. If the package is paused and a session still gets written against 10 November, either the trainer is paid commission for a session that never happened, or the client loses one of her nine.
The expensive mistake is not the pause itself. It is a pause that lives only in somebody's memory, so the end date, the payment and the session count each get decided later, by different people, in different moods.
Three ways gyms handle it today

The hand-extended end date is the most common, and it looks fine for a month. Then the package is audited at renewal and there is a date that does not match the purchase, with no reason attached. Six months later nobody can say whether that client had a pause, a complaint or a favour.
Write the rule down before the client asks
A pause policy is a sentence on the package receipt and the board at the front desk, not a negotiation at the rack. Decide these once:
- Which reasons count. Travel or a festival, an injury or illness, exams or work. Anything else needs a short written reason.
- How far back a pause can start. A client who tells you a week late should not get a month back. Seven days is a fair limit.
- How far ahead it can be booked. A pause for a wedding two months away can wait until the month it happens.
- One pause at a time. A second pause should wait until the first one is over.
- The balance is still due on the due date. Put this in writing. It is the line that stops the argument.
- Sessions already recorded on those days stay recorded. You cannot pause days that were already trained.
A written, even-handed rule also protects the gym. The Consumer Protection Act, 2019 calls a contract whose terms cause a significant change in the consumer's rights an unfair contract, in section 2(46), and a client who paid for 24 sessions and lost nine to a three week illness is exactly the sort of complaint that ends up on the National Consumer Helpline. A clear pause rule, applied the same way to everyone, is cheaper than defending a "no freeze, no refund" line in a complaint.
The dates, worked through
Take Riya's package and pause it from 2 November, with 23 November as her first day back. That is 21 paused days, 2 to 22 November.
- 30 Nov : the end date before the pause
- 21 days : paused, 2 to 22 November
- 21 Dec : the new end date
- 15 Nov : payment due, unchanged

Now the two things that actually happen in November.
She comes back early. Riya is back on 16 November, a week before she said. The days from 16 to 22 November were never used as a pause, so they should come off the end date again: 7 days. The package now ends on 14 December, and she can train on the 16th.
She comes back late. The wedding runs long and she is back on 30 November instead of the 23rd. Move the day back by 7 days and the end date moves by the same 7 days, to 28 December. The payment date still does not move.
How a pause works in Shiftelio
Shiftelio's PT packages already count sessions down, hold commission until a session is paid for and pay the trainer's cut through payroll. Since September 2026 a package can also be paused, and the rule above is built into it rather than left to the front desk.
The owner, or a manager whose role has the PT manage tick, opens the client's package and chooses why: Travel / festival, Injury / illness, Exams / work, or Other with a short reason.
Pick the first paused day, then the day the client is back on, or tap +1 week, +2 weeks or +30 days. Before saving, the sheet says in one line what will happen, for Riya: 21 days paused, the package will end on 21 December instead of 30 November, and the payment due date does not move.
The end date moves. The trainer gets a notification in their own language that the client is paused and when they are back. The package card and the package page show a Paused chip with the day back, and every change goes into the package history.
The rules are built into Shiftelio, so they apply whoever is holding the phone:
- A session on a paused day is refused. Not hidden, refused, whether the owner, a manager or the trainer records it.
- A pause can start at most 7 days ago and at most 30 days from today, and not before the package starts or after it ends.
- You cannot pause over days that already have sessions recorded. The sheet says so and asks for other dates.
- One pause at a time. A second one is refused while the first is running or waiting.
- Expiry reminders skip a paused package, so nobody chases a client who is away on purpose.
When the client is back early, End pause now gives the unused days back and takes them off the end date, exactly the 7 days in Riya's case. When they are back late, Change back-on date moves the end date by the same number of days.
When the trainer is the one who knows
In most gyms the trainer hears about the trip first, at the end of a session. So a trainer can ask for the pause from their own phone: they open their client, tap Ask to pause, pick the reason and the dates, and send it to the owner. The ask waits in Needs your OK next to the gym's other decisions. The owner taps OK or Not OK, and the trainer is told either way, with the owner's reason if they gave one.

The trainer can take the ask back while it is waiting. A gym that would rather keep pauses at the desk turns off Trainers can ask for a pause in PT settings; it is on to start with.
This split matters for the same reason commission holds matter: the person who benefits from a session being recorded is not the person who approves the change that affects it.

Questions gym owners ask
Is a pause the same as a gym membership freeze?
The idea is the same: the client stops for some days and gets them back at the end. In Shiftelio it applies to PT packages, the block of sessions with a trainer. A general monthly membership is handled by your member system.
Should a pause move the payment due date?
No. A pause moves the end date because the client could not use the days. The money was agreed when the package was sold. If a balance is due during the pause, the client pays it as agreed.
What if the client wants a pause that started two weeks ago?
Shiftelio lets a pause start at most 7 days back. For anything older, the owner can extend the end date by hand as a goodwill decision, which is at least visible in the package history.
Can the trainer pause a client without the owner?
No. The trainer can only ask. The ask waits in Needs your OK, and nothing moves until the owner, or a manager with the PT manage tick, decides it.
What happens to sessions already recorded inside the dates?
They stay recorded, and the pause is refused for those dates. Pick a first paused day after the last session the client actually trained.
