Staff Certificates That Expire: How an Ontario Restaurant Tracks Food Handler and First Aid Dates
In short
Record each certificate's expiry date once, from the card, and let a reminder reach the staff member and you 30 and 7 days before it runs out.
- Every certificate your staff hold has a date on it. Write that date down once, from the card, not from memory.
- Start the renewal 30 days out. A course, an exam and a new card take longer than a week.
- Remind the person who holds the certificate, not only the manager. They are the one who has to book the course.
To keep track of staff certificates that expire, record each certificate's expiry date once, copied from the card itself, in that person's staff file, and have a reminder reach the staff member and you 30 days and 7 days before the date. Then ask for the renewed certificate and keep the old one on file, so you always know who is current today.
Most small restaurants do it the other way. The certificates are photocopies in a binder behind the office door, the dates live in somebody's head, and the first time anybody checks is the morning a health inspector asks to see them. This guide sets out a routine that avoids that, with a worked example from a café in Toronto, Ontario.
Why certificate expiry dates slip in a small restaurant
A certificate is checked once, on the day somebody is hired, and then forgotten for years. That is exactly why it goes wrong. The binder is accurate on day one and out of date a few years later, and nothing in the week-to-week running of a kitchen ever makes anybody open it.
Four things go wrong, again and again:
- The date was never written down. Somebody photocopied the card and filed it. To know when it runs out, you have to find the copy and read it.
- Only the owner knows, and the owner is busy. The person who has to book the course is the cook, the server or the driver. If the reminder lives on the owner's calendar, it reaches the wrong person.
- A week is not enough notice. Finding a course with a free seat, sitting it and getting the new card can take longer than the last few days before the date.
- The new card replaces the old one in the binder. Then nobody can show what was valid last month, which is exactly the question an inspector or an insurer may ask.
Which staff certificates expire in a Canadian restaurant
Not every document in a staff file has an end date, but the ones that do are usually the ones that matter on a shift. In a typical café, restaurant or catering kitchen in Canada:
| Certificate | Who usually holds it | Where the date comes from |
|---|---|---|
| Food handler certificate | Cooks, kitchen leads, the person who opens | Printed on the certificate or card |
| First aid and CPR | A shift lead on each shift | Printed on the certificate |
| Driver's licence | Delivery and catering drivers | Printed on the licence |
| A certificate your insurer or a client asks for | Whoever the contract names | Printed on the certificate |
For first aid, the Canadian Red Cross says most of its training certifications are valid for three years, and that its shorter recertification course is only open to people whose certificate has not yet expired (Canadian Red Cross: Recertify your training). That second point is the practical reason to start early: let a first aid certificate lapse and the person may have to sit the full course again instead of the shorter one.
For any other certificate, do not guess how long it lasts. Read the date printed on the card and record that.
A simple routine for staff certificate expiry dates
Write these five steps down once, and use them for every new hire:
- Ask for the certificate and its expiry date together. A photo of the card, plus the date typed in, so you never have to squint at a photocopy again.
- Check the date against the card before you approve it. A typo here is a reminder that never comes.
- Remind at 30 days and again at 7 days. The first is for booking the course, the second is the last call.
- Send the reminder to the person who holds it, and to you. They book the course, you plan the schedule around it.
- When the new certificate arrives, keep the old one. File the new card and its new date, and leave the old one in the record.
A worked example: a café in Toronto, Ontario
Grace owns a café in Toronto with 14 staff. Two dates are coming up this autumn, and she finds out about both without opening a binder:
When Arjun, her morning cook, started, he sent a photo of his food handler certificate and typed in its expiry date, 12 November 2026. Sam, who drives catering orders, sent his driver's licence and its expiry date. Grace checked both against the cards and approved them.
On 13 October, 30 days before the date, Arjun gets a notice on his phone that his food handler certificate for the café expires on 12 November, asking him to send the renewed one. Grace gets one too, naming Arjun and the certificate. Arjun books a course for the following week. That is one reminder to Arjun and Grace, from one date typed in months ago.
If Arjun had not sent the new certificate by 5 November, 7 days before the date, both of them would hear about it again. In Grace's staff documents, his certificate shows Expiring soon from 30 days out, and Expired after the date if nothing new has come in.
Grace taps Renew on Arjun's certificate. The app asks Arjun for it again, and his approved old certificate stays saved. When he sends the new date, Grace checks it and approves it, and the chip disappears.
Nobody had to remember anything, and nobody found out on the day of an inspection.

What Ontario says about certified food handlers on site
In Ontario, the province's food handler training page says food premises are required to have at least one certified food handler on site during every hour that the food premises operates (Ontario: Food handler training and certification, checked on 14 October 2026). The same page lists the training providers whose certificates Ontario public health units accept.
So the expiry date on a food handler certificate is not only an HR detail. If the only certified person on your early shift lets their certificate lapse, that shift may no longer have one, and the rule above is the one the province describes. Other provinces set their own food safety rules, so check your own province's health ministry or local public health unit if you are outside Ontario. This is general information, not legal advice: check with the agency or an employment lawyer for your case.
How Shiftelio tracks staff certificate expiry dates
In Shiftelio, certificates live in Staff documents, the same place you collect documents from new joiners and check them off. You build a checklist once, and every person you assign it to sends their documents from the app on their phone.
- Add the certificate and its date to a checklist. In a staff documents checklist, add a photo item for the certificate and a date item for its expiry, for example "Food handler certificate expiry date".
- Mark the date as an expiry date. A date item has a switch, Expiry date - remind 30 and 7 days before. A driver's licence and a nursing registration date are already marked for you; for anything else, turn the switch on.
- Two reminders, to the right people. 30 days and 7 days before the date, the staff member gets a notice on their phone asking for the renewed one, and every owner of the business gets one naming the person and the document.
- Chips you can see at a glance. On a person's documents, a certificate shows Expiring soon in its last 30 days and Expired after the date.
- Renew keeps the old one. Renew asks that document again, and the approved old copy stays saved. For a driver's licence or a nursing registration, Renew asks for the photo and the date together.
- Managers can do it too. A manager you allow to ask staff for documents can press Renew; the owner always can.

The one thing we do that a spreadsheet or a calendar reminder does not: the reminder reaches the staff member who holds the certificate, on the same app they already use to clock in and see their schedule, and the renewed certificate comes back into the same record without anybody retyping it. See it on the Shiftelio for Canadian businesses page or in the full features list.
Which app reminds restaurant staff before their food handler certificate expires?
Frequently asked questions
How do I know when a staff member's food handler certificate expires?
Read the date printed on the certificate itself and record it in their staff file when they join. Do not work it out from the issue date or from memory.
How early should staff renew an expiring certificate?
Start about 30 days before the date. That leaves time to find a course with a free seat, sit it and get the new card, with a second reminder at 7 days as the last call.
Does a first aid certificate expire in Canada?
Yes. The Canadian Red Cross says most of its training certifications are valid for three years, and its shorter recertification course is only open while the certificate is still valid.
Should I keep an employee's old certificate after they renew?
Yes. Keep the old one with its dates, so you can show what was valid on any past day if an inspector, an insurer or a client asks.
Who should get the reminder, the employee or the manager?
Both. The employee is the one who books the course, and the owner or manager needs to plan the schedule in case the new certificate is late.
