How Long Is a Food Handler Card Good For? Track Every Server's Card Before It Expires
In short
It depends on the state: three years in California, the printed date in Texas. Record each card's date once and get reminded 30 and 7 days before it runs out.
- The printed expiry date on each card is the one to record, not the date of the class or the date you hired them.
- California's health department says a food handler card is valid for three years. In Texas, the card is valid up to the date printed on it.
- Start the renewal 30 days before the date, with a second reminder at 7 days.
How long a food handler card is good for depends on the state that issued it: California's health department says three years, and Texas says the card is valid up to the date printed on it. So the date that matters for each of your servers and cooks is the one on their own card, and the job is to write it down once and hear about it before it passes.
This guide is for restaurant, café and quick-service owners in the US with a crew of hourly staff who each carry their own card. It covers what to record, when to start the renewal, what to do with a new hire who brings a card from their last job, and a worked example from a restaurant in San Antonio, Texas.
Why food handler cards slip in a busy restaurant
Nobody forgets a food handler card on purpose. They slip because of how restaurants hire.
- Cards arrive on different dates. A cook hired in March and a server hired in August carry cards that run out in different months, years apart. There is no single "renewal season" to remember.
- New hires bring their own card. A server who worked at the diner down the street shows up with a card that is already 18 months old. If you count from the day you hired them, you are wrong by a year and a half.
- The copy lives in a binder. A photocopy behind the office door tells you nothing until somebody opens it and reads the small print.
- The person who has to renew it never sees your list. A spreadsheet in the office does not reach the line cook whose card runs out next month.
How long a food handler card lasts in California and Texas
The length is set by each state, and sometimes by the county, so check the agency that covers your restaurant. Two of the largest restaurant states say it plainly:
- California. The California Department of Public Health's retail food safety training guide says: "The food handler card is valid for three years, after which an additional training would be required." Checked on October 14, 2026.
- Texas. The Texas Department of State Health Services food handler FAQ says: "The food handler card or certificate is valid up to the expiration date listed on the card or certificate." The same page says a card with no expiration date is valid for two years from the date it was issued, and that the food establishment keeps a certificate of completion on premises for each food employee. Checked on October 14, 2026.
Other states and counties set their own rules, and some have no statewide card at all. Read the date printed on each card, and check your state or county health department for what applies to you.
This is general information, not legal advice: check with the agency or an employment lawyer for your case.
What to record for every food handler card
Four things per card, and nothing more:
| What to record | Why it matters |
|---|---|
| A clear photo of the card | So anyone can check the date against the real card |
| The expiry date, read off the card | The one date every reminder is counted from |
| Who holds it | The reminder goes to them, not only to you |
| The date you checked it | So you know a person looked at the card, and when |
If a card shows no expiry date, write down the date it was issued and work out the end date from your state's rule, then check it with your health department.
The 30 and 7 day routine
- 30 days before the date: the first reminder. Enough time to take the online course and test, and for the new card to come through.
- 7 days before the date: the last call. If nothing new has come in, plan the schedule around it now.
- Both reminders go to the cook or server. They retake the course, so they need to hear it first.
- Both reminders go to you, naming the person. You check the new card, and you plan cover if it is late.
- The new card goes into the same file. Check it against the photo and keep the old card beside it.
New hires who bring a card from their last job
This is where most restaurants get the date wrong. When a server joins with a card they earned at another restaurant, the clock started on that card's issue date, not on your hire date.
- Ask for a photo of the card before the first shift, together with its printed expiry date.
- Record the date from the card, not today plus two or three years.
- If the card is close to its date, say so on day one. A card that runs out in five weeks is better renewed now than in the middle of their first busy month.
Our guide to collecting new hire paperwork before the first shift covers the rest of a new hire's documents.
A worked example: a restaurant in San Antonio, Texas
Rosa runs a Tex-Mex restaurant in San Antonio with 16 hourly staff. Here is how one card runs out without her opening a spreadsheet:
When Marco started as a line cook, he took a photo of his food handler card on his phone and typed in its expiry date, December 2, 2026. Rosa checked the date against the photo and approved it.
On November 2, 30 days before the date, Marco gets a notice on his phone that his food handler card for the restaurant expires on December 2 and asking him to send the renewed one. Rosa gets one too, naming Marco and the card. Marco takes the online course that weekend.
If Marco has not sent the new card by November 25, 7 days before the date, both of them hear about it again. On Marco's documents, his card shows Expiring soon from 30 days out, and Expired after the date if nothing new has come in.
Rosa taps Renew on Marco's card date. The app asks Marco for it again, and his approved old record stays saved. When he sends the new date, Rosa checks it and approves it, and the chip goes away.

How Shiftelio tracks food handler cards for your staff
In Shiftelio, cards and certificates live in Staff documents, the same place you collect documents from new joiners and check them off. You build a document checklist once, assign it, and each person sends their documents from the app they already use to clock in.
- A photo item and a date item. Add the card as a photo, and its expiry as a date, for example "Food handler card expires on".
- The expiry date switch. A date item has a switch, Expiry date - remind 30 and 7 days before. Turn it on for the food handler card date. A date whose name says it expires is switched on for you, and you can turn it off.
- Two reminders, to both sides. 30 days and 7 days before the date, the staff member gets a notice on their phone asking for the renewed card, and every owner of the business gets one naming the person and the card.
- Chips at a glance. On a person's documents, the card date shows Expiring soon in its last 30 days and Expired after the date.
- Renew keeps the old record. Renew asks for that one document again, and the approved old copy stays saved. Nobody has to fill in the whole checklist again.
- Managers can help. A manager you allow to ask staff for documents can press Renew; the owner always can.

The one thing this does that a binder or a calendar alert does not: the reminder reaches the cook or server who holds the card, on the app they open every shift to clock in and see their schedule, and the renewed card comes back into the same record. See how it fits a restaurant on the Shiftelio for restaurants page, or start from Shiftelio for US businesses.

Frequently asked questions
How long is a food handler card good for?
It depends on the state. California's health department says three years; in Texas the card is valid up to its printed date. Always read the date on the card itself.
Does a food handler card expire?
Yes, in California and Texas it does. California says three years, and Texas uses the date on the card, or two years from issue if none is printed.
When should my staff renew their food handler card?
Start about 30 days before the printed date. That leaves time for the online course and test, with a second reminder at 7 days as the last call.
What date should I record for a new hire who already has a card?
The expiry date printed on their card. Their clock started when the card was issued, not on the day you hired them.
Should I keep an old food handler card after a cook renews?
Yes. Keep it with its dates, so you can show which staff held a current card on any past day.
