Salary Slip in Hindi: Give Staff a Payslip They Can Actually Read

A salary slip in Hindi is now one tap away for your staff: when a staff member sets their Shiftelio app to Hindi and downloads their payslip, the PDF prints in Hindi. The same works for Marathi, Gujarati, Tamil, Telugu and Kannada, while PAN, UAN, ESI and the amounts stay exactly as they are.

That sounds like a small thing. It is not, if you run a team where half the people read Hindi or Tamil far better than English. An English payslip they cannot read is a payslip they bring back to you, on payday, with a question.

Why an English salary slip comes back to you on payday

Most small business owners in India have lived this. You pay salaries on the 5th. By the 6th, three people are standing at your desk holding their phones, asking why the amount is lower than last month. The answer is on the payslip: a salary advance cut, two late marks, a half day. But the payslip is in English, and they could not read it.

So you explain it line by line, three times, and the fourth person does not ask at all. They just decide they were cheated and start looking for another job.

The law already asks you to hand that slip over. Section 50(3) of the Code on Wages, 2019 says every employer shall issue wage slips to the employees in the form and manner the rules prescribe (checked on 9 October 2026). India's Constitution lists 22 languages in its Eighth Schedule. A cook in Pune, a security guard in Chennai and a delivery rider in Ahmedabad will each read their own far faster than English. A payslip in that language answers the question before it reaches your desk.

How a staff member downloads their salary slip in Hindi

Nothing changes in how you run payroll. You run the month as usual. The language is the staff member's own choice, made once on their own phone.

1. Pick the language once

On their phone, the staff member opens Settings and taps the row called Language / भाषा. It is written in both English and Hindi on purpose, so somebody who cannot read the current language can still find it. They pick हिन्दी (or Marathi, Gujarati, Tamil, Telugu or Kannada). The whole app switches, including the pay screen.

2. Open the month on My Pay

They open My Pay and choose the month. The payslip on the screen already reads in their language: earnings, deductions, the salary advance cut and the net pay.

3. Download the payslip

They tap Download Payslip. The PDF that lands on their phone prints its headings and labels in Hindi. They can keep it, forward it on WhatsApp to family, or show it at the bank.

If a staff member asks you for a payslip in Hindi, the answer is not a new template or a translator. It is: open Settings, tap Language, pick Hindi, download again. Any month they have already been paid for comes out in the new language too.

Which languages print, and which stay in English for now

The app's screens speak eight Indian languages. The downloaded payslip PDF prints in six of them. Be clear about the other two before you promise anything to your team.

A Bengali or Punjabi speaker still reads the whole pay screen in their language, so the questions on payday mostly go away anyway. Only the PDF they download comes out in English.

What stays in English on a Hindi salary slip

A salary slip in Hindi is not a slip with every character in Devanagari. Some things stay as they are, and that is deliberate.

  • PAN, GST, UAN, ESI and TDS keep their English names. These are the words a bank, a loan agent or the PF office looks for, and they are the same on every slip in the country.
  • Names, addresses and designations print exactly as you typed them in the app. If you typed "Ramesh Kumar", it prints Ramesh Kumar.
  • Every amount stays in figures, with Rs. in front, so a ₹18,400 net pay reads the same in Hindi, Tamil or English.
  • The amount in words stays in English.

The rest is translated: the title, the pay period, the attendance summary (present, absent, late, leave, half days), earnings, overtime, every deduction line including the salary advance cut and work cash not accounted for, total deductions, net pay and the note at the bottom.

So a worker who reads only Hindi can see, in their own language, that they were present 24 days, late twice, and that ₹1,000 of the advance they took in August came off this month. That is the whole conversation you used to have at your desk.

What you, the owner, need to do

Almost nothing, and that is the point.

  1. Run payroll as you do now. The numbers do not change with the language. A Hindi payslip and an English payslip for the same person and month carry the same earnings, the same deductions and the same net pay.
  2. Tell your team the option exists. Most staff never open Settings. One message in your team's WhatsApp group, "Settings, then Language, then pick your language, then download your payslip again", does more than any feature.
  3. Help the first few. Sit with the two or three people who always come to you on payday and switch their app with them. They will show the others.

You never pick a language per payslip, and you never keep two versions. If a staff member later switches back to English, their next download comes out in English.

When a payslip in Hindi is not enough

Be honest with yourself about three cases.

  • Staff who cannot read at all. A translated slip does not help someone who does not read any script. For them, the pay screen with its big numbers, or a two-minute talk on payday, is still the answer.
  • Languages the app does not have. If your team reads Odia, Assamese, Malayalam or Urdu, they will see the app and the payslip in English.
  • Bengali and Punjabi PDFs. The screen is in their language; the downloaded PDF is English for now. Do not tell a Bengali-speaking team their PDF will be in Bengali.
